504 Plan System Admin Basics

This article will walk through basic information for the System Admin in regards to the 504 Platform including permissions and code management.

NOTES:

1. Within Infinity, you must have the permission to manage permissions to give users/roles/etc. access to the 504 Plan/Tools.

2. Within the 504 Platform, you must be a System Admin to adjust permissions for groups, adjust code management, etc.

Expand or collapse content Basic Permission to Access 504 Plans

To grant users/roles/etc. access to the 504 Platform, their user/role/etc. must have the following base permission set to YES within Infinity.

504 Plan - Access

Allow users to access the 504 Plan system.

Expand or collapse content How Permissions Work Within the 504 Platform
  • The 504 Platform grants/gives permissions by groups versus by role/user/etc. (which is how it works within Infinity).
  • ONLY the group, System Admin, can grant/remove permissions in the 504 Platform.
  • ONLY the group, System Admin, will have permissions automatically connected. This means that every other group will need to be given the appropriate permissions within the 504 Platform.

  • Groups come into the 504 Platform from Infinity. Groups are "roles" within Infinity.
  • The only way to add a new group to the 504 Platform is to assign a user a role within Infinity or add a new role within Infinity and then assign a user to this role.
Expand or collapse content How Does a User Get Assigned a Group?
  • Anyone who is a System Admin within Infinity will automatically be assigned to the group of System Admin within the 504 Platform.
  • Anyone that has a role of teacher within the Infinity platform will automatically be assigned to the group of Teacher within the 504 Platform.
  • The role(s) that you have within Infinity will automatically assign you to that Group within the 504 Platform. For example, if you are an occupational therapist within Infinity, you will automatically be assigned to this group within the 504 Platform.
Expand or collapse content How do Sites/Buildings Get Assigned to a User Within the 504 Platform?

The sites a user has access to within the 504 Platform is connected to the current sites they have within Infinity. The users/roles gets extracted nightly from Infinity to the 504 Platform.

Expand or collapse content Adjusting Permissions Within the 504 Platform

1. Select the Hamburger Icon (three horizontal lines).

2. Select Permissions.

1. To View/Adjust General Permissions (these would be those outside of the 504 Plan such as Caseload and Activity Log), select General Permissions.

2. To View/Adjust 504 Plan permissions, select 504 Plan.

The default for General Permissions is that ONLY System Admin have the optional permissions available within General Permissions.

NOTE: All users/groups have the ability to view the Activity Log and run the Caseload.

1. To allow a group to run the Activity Log Report for other users, click within the text box and select the group(s) that should have the permission to run the Activity Log for other users.

2. To allow a group to View and Manage the Caseload (and enter in activities) for other users or for a student, click within the text box and select the group(s) that should have the permission.

3. Select Save.

The default for 504 Plan Permissions is that ONLY System Admin have all four permissions.

NOTE: This means in order for a group other than System Admins to have access to the 504 Plan, they must be given the permission(s).

1. To allow a group to View 504 Plans click within the text box and select the group(s) that should have the permission View 504 Plans.

2. To allow a group to Edit a 504 Plans click within the text box and select the group(s) that should have the permission Edit 504 Plans.

3. To allow a group to Delete the 504 Plans click within the text box and select the group(s) that should have the permission Delete 504 Plans.

4. To allow a group to Restore deleted 504 Plans click within the text box and select the group(s) that should have the permission Can Restore 504 Plans.

5. Select Save.

There are various places within the 504 Plan where the dropdown list can be adjusted via Code Management. These include:

  1. Accommodations, Modification and Service dropdown within the AMS page (504 AMS Types Code Table)
  2. The Location dropdown within add/edit an AMS (504 AMS Locations Code Table)
  3. The Impairments dropdown within the Student Needs page of the 504 Plan (504 Impairments Code Table)
  4. The Major Life Activities dropdown within the Student Needs page of the 504 Plan (504 Life Activities Code Table)

NOTE: Student Groups and Staff Groups should not be adjusted at this time. They are Code Tables that may be used for future needs.

This will show any groups (roles within Infinity) that are within the 504 Platform. This code table is for reference only and should not be added or edited. If you need a new Group, you will want to add a new role (if it is not already available in Infinity) and then assign a user to the role at a site within Infinity.

This is for future use and should not be edited/adjusted at this time.

Expand or collapse content How to Add/Edit a Code Management Table

1. Select the Hamburger Menu (three short, horizontal lines).

2. Select Code Management.

3. Select the Code Management table you would like to Edit/Delete.

1. Select Create to add a new code to the code table. This code will be available to be used in open or new 504 Plan.s

2. Select Edit, to make an adjustment to the name of the code. NOTE: This will affect any 504 Plan that has had this code selected.

3. Select Delete, to remove the code from showing up within the 504 Plan. NOTE: If the code was used previously in a 504 Plan it will continue to show.

1. Enter a code key (please review the other codes within the code table and create a similar code key that is unique to this code.)

2. Enter in the name of the code (Short Name). For example, if you are adding a new impairment type this is where you would enter in the name of the impairment.

3. Select Save.
