How to Share Meta Data for use in Custom Reports

This article will walk through ow to share/un-share meta data and how to modify the title of the categories and fields so it displays the way a district would like them to appear.  

NOTE:  You must have the following permission in order to Manage Custom Reporting Data:  

Manage Custom Reporting Data (Grants the ability to manage permissions for the data categories and fields in the custom report builder. Also allows renaming of those elements.)

What is Meta Data?

Meta Data refers to the data that can be used in custom reports (e.g. iep information, Early On information, student demographics, etc.). Infinity system admin may determine what meta data categories and columns can be available to users/roles/etc. The system admin may also modify the titles of the categories and fields so that it displays the way a district would like them to appear.This lesson will show how to share/un-share this data and how to customize the titles.

Where to Start

1.  Go to Reports.

2.  Select Manage Custom Reporting Data.

1.  The Original Category Name displays the default name of the data set given by the system.

2.  The Local Category Name displays the name given by the district if they choose to change it.

3.  Category Enabled? shows whether this data can be included in custom reports.

4.  Click the paper/pencil icon to edit categories.

5.  Click the key icon to share the category. Please refer to the Share With Others Section of this article for more information.

6.  To search for a specific category use the Search box.

NOTE:  If the category is enabled, it must be shared in order for users to include the data.

Edit Category Names

1.  Select the pencil/paper icon to edit a Category Name.

1.  To rename the Category enter the name in the Local Category Name text box.

2.  To enable the Category to be seen/used in custom reports, select Yes.  To disable select No.

3.  Select Submit to save changes.

Edit Column Names

1. To access column fields, click the name of the category.

1.  Once in the column list, click on the paper/pencil icon to edit the column.

2.  Select the paper/pencil icon to Edit the specific column name.

1.  To rename the Column enter the name in the Local Display Name text box.

2.  To enable the Column to be seen/used in custom reports, select Yes.  To disable select No.

3.  Select Submit to save changes.

Share Meta Data by Category

1.  Select the key icon within the Category that will be shared/un-shared.

1.  Select the role, role/site, user etc. that should have the Category shared to the user(s).  

2. Once the Share With option has been selected, the appropriate option for which role, user, etc. will populate.  Select as appropriate.

3. Select Share.

FYI: The role(s)/user(s)/etc. that the Category has been shared with will be displayed at the top of the page.  You can remove the sharing by selecting Remove and Save Changes.

Share Meta Data by Column

1. To access column fields, click the name of the Category.

1.  Select the key icon within the Column you would like to share/un-share.

1.  Select the role, role/site, user etc. that should have the Column shared to the user(s).  

2.  Once the Share With option has been selected, the appropriate option for which role, user, site, etc. will populate.  Select as appropriate.

3. Select Share.

FYI: The role(s)/user(s)/etc. that the Column has been shared with will be displayed at the top of the page.  You can remove the sharing by selecting Remove and Save Changes.
